Description
The Executive Manager – HR Operations will have responsibilities that will include, but not be limited to the following:
- Provide comprehensive HR support and execute various HR functions within the organization
- Ensure smooth onboarding and off-boarding processes, maintain accurate employee records, manage payroll, and coordinate various HR activities
- Actively engage in campus recruitment and other HR initiatives.
The key responsibilities include:
- On-boarding and Off-boarding:
- Update trackers including Induction tracker, Staff Contact List, and Recruitment Tracker. Initiate candidate onboarding on ZOHO and release post-joining communication
- Coordinate with stakeholders for pre-joining and onboarding activities
- Assist in staff exit processes, including resignation acceptance letters, no dues clearance, and relieving letters.
- Update trackers including Induction tracker, Staff Contact List, and Recruitment Tracker. Initiate candidate onboarding on ZOHO and release post-joining communication
- Employee File Management:
- Maintain accurate and up-to-date employee records
- Prepare confirmation letters and manage probation completion processes
- Handle employee leave management, including assigning leaves and updating leave records.
- Maintain accurate and up-to-date employee records
- Recruitment and Campus Engagements:
- Support campus recruitment efforts for interns and full-time positions
- Assist in recruitment activities, including candidate experience, employment verification, and reference checks
- Participate in campus engagements and events to promote the organization’s brand.

- HRIS and Reports:
- Generate monthly HRIS and LMS reports
- Ensure timely and accurate input of payroll data to the finance team.

- Contract management:
- Assist in drafting different contracts globally distributed to: a) Staff members, b) Consultants, and c) Vendors
- Gather necessary information for contract creation, such as permanent/correspondence address, banking particulars, etc.
- Maintain a record of contract renewals and addendum
- Monitor supplementary requirements for Expat recruitment or contract extension
- Incorporate management-approved revisions to the contract periodically.
- Assist in drafting different contracts globally distributed to: a) Staff members, b) Consultants, and c) Vendors
- HR Dashboards:
- Compile quarterly and annual dashboards focusing on providing HR and organizational insights
- Create dashboards aligned with organizational needs and forward-thinking considerations
- Compile quarterly and annual dashboards focusing on providing HR and organizational insights
- Insurance and Compliance:
- Update staff details in the health and life insurance database. Monitor and flag expiring insurance policies
- Ensure compliance with relevant HR regulations and policies.

- Miscellaneous Tasks:
- Handle ad hoc requests from staff related to travel arrangements, claims, etc.
- Maintain staff database and ensure compliance with data protection regulations
- Manage vendor relationships and assist in other HR-related tasks as required
- Consolidate data for payroll and share it with 100% accuracy within defined timelines
- Participate in regular calls with the Automation SPOC on evolving the current process as and when required
- Ensure smooth communication with stakeholders on various processes and HR policies
- Assist in the preparation of biannual increment and promotion cycles
- Handle ad hoc requests from staff related to travel arrangements, claims, etc.
Requirements
Qualifications And Experience:
- Bachelor’s/ Master’s degree in Human Resources or a related field
- Other relevant professional qualifications in line with areas of specialization
- Solid understanding of HR processes and practices
