Position Overview:
- Chief of Staff will be reporting directly to CEO to improve productivity and impact of the entire company.
- The CoS will act as an air traffic controller for the leader and the senior team; as an integrator connecting work streams that would otherwise remain siloed; as a communicator linking the leadership team and the broader organization; as an honest broker and truth teller when the leader needs a wide-ranging view without turf considerations; and as a confidant without a departmental agenda.
- The key personality traits required for the CoS position are humility, maturity, listening ability, decision making abilities, and situational sensitivity.
Roles and Responsibilities:
Productivity:
- Create a system so that CEO and senior leadership can stay focused, and still day-to-day things don't fall by the wayside.
- COS should do regular follow-ups for all key deliverables across the organization, so that senior leadership don't have to spend time on back-and-forth and they can be confident in delegating.
Ensure that information from all departments arrive at the right point in the decision-making process.
- Ensure all the key information is ready before important meetings, so that meeting if focused on decision making rather than fact findings and follow-ups.
- Identify and resolve inter-department dependencies, and improve inter-departmental functional awareness to improve efficiency. Identify, pinpointing and addressing core issues within business processes.
Provide department leaders with recommendations and consultation to improve teamwork across the organization
Strategy:
- Function as extra eyes and ears by pointing out potholes, anticipate potential problems, and be sensitive to issues that require diplomacy.
- Identify problems early enough so that action can be taken before they create damage, for e.g. relationship problems between subordinates and department.
- Act as a sounding board for CEO and assist in thinking through and setting policies and procedures and making sure that they are implemented.
- Steering strategic business initiatives from genesis to fruition.
- HR, PMO and Operations
- Effective implementation of Key responsibility areas and Key performance indicators lifecycle to measure and improve staff, team, and company performance. The cyclic lifecycle of KRA and KPI includes:
- Define clear measurable, easy to understand, and realistic KRA and KPIs.
- Clearly communicate
- Regularly measure and report KPIs to senior leadership team.
- Review and Improve.
- Overseeing various business functions, including HR and admin team, Grievance Handling, vendor management, compliances, managing multiple stakeholders and optimizing processes.
- Create a positive happy culture where staff can grow, contribute, and their talent is recognised and rewarded.
- Ensure organization is scalable and no dependency is created on a single resource.
- Giving expert advice to all the staff in order to enhance overall efficiency of the business.
- Supervising special projects and initiatives with skilful oversight and support.
Qualifications and Experience:
- Min 10+ years of experience with a focus on operations management/project co-ordination role/HR
- Strong Project management skill
- Ability to simply complexity, strategic thinking and problem analysis
- Decision making, situation handling, anticipate and avert problems
- Can grasp and add value to leader's vision.
- Positive and nimble business mind with a focus on developing creative solutions
- Exceptional organizational skills and attention to detail, ability to manage multiple tasks and stakeholders effectively.
- Analytical mindset with a focus on problem-solving, process improvements and making strategic recommendations.
- Effective communication and negotiation skills with the ability to interact confidently with internal and external stakeholders. Ability to excel in a rapidly evolving work environment.
