We are looking for Specialist, Global Business Operations with a "can-do" attitude to assist our organization in managing the day-to-day operational activities. The role involves lot of co-ordination across all India locations and candidate will need to work with various teams, to execute various tasks in a shift-based role i.e., from 2 pm to 11 pm (IST) as a primary shift but should be open to rotational work hours based on the job requirement. This base location will be Mumbai. An ideal candidate for this role should demonstrate exceptional organizational abilities, good interpersonal skills, multi-tasking skills, excellent time-management and should be able to drive tasks end to end. This position requires exceptional problem solving and interpersonal skills and the ability to acquire knowledge of transportation operations, policies, and procedures. 


The roles and responsibilities of this person will include:


Responsibilities:


Transportation, Employee Safety & Security Services:


  • Ensure that all employees receive a home pick-up or drop-off in accordance with the Hyderabad-specific timelines.
  • Manage the Shuttle services running at Hyderabad.
  • Co-ordinate with vendors at Hyderabad to ensure the drops/ pick-ups are arranged in a timely manner.
  • Working on our Transport Management System (TMS) on a daily basis that involves collating all transport requests for Hyderabad and work on required allocation. 
  • Follow up with vendor to receive daily driver and vehicle details on time and upload them on our TMS Portal.
  • Ensure all women safety and compliance guidelines are adhered to at Hyderabad for female employees’ night drops/ pick-ups.
  • Attending to all adhoc transport requests and actioning on them.
  • Collate and share daily/ weekly shuttle services, transport and escorts data.
  • Maintain monthly register details from all women security guards at Hyderabad for female employees travelling during night shift hours.
  • Other general transport related activities that would be assigned on an ongoing basis. 

Employee Benefit – Snacks Services:


  • Co-ordination with the identified internal spocs and vendors for daily snacks numbers at Hyderabad. 
  • Ensure smooth functioning on a daily basis. 

Vendor Management:


  • Consistently communicate with vendor partners in order to maintain awareness of the endeavors they support, provide feedback (if any), and collaborate on potential enhancements.
  • Maintain a record of all vendor data including driver, vehicle KYCs, vendor documents and update them on our internal repository on a recurring basis.
  • Audit and reconcile the invoices received from our vendor partners, maintain a record and arrange for it to be paid on timely basis.
  • Vendor Agreements to be created as per the company policy and renewed as and when needed.
  • New vendors fitting the Kroll Hyderabad location's operational activities most effectively must be explored whenever necessary.

Return to Office and Scheduling:


  • Encourage employees to Work from Office and ensure that their return is scheduled such that we have an approximate equal spread on all days of the week.
  • Work from office Schedule to be created on Quarterly/ Half Yearly basis.
  • Track and maintain the office utilization for Hyderabad location.
  • To promote collaboration and boost employee morale in Hybrid Framework, organize internal events at Hyderabad in support of the Return to Office initiative. 

Governance:


  • Govern all operational activities at Hyderabad – Transport, Safety and Security (Stationed Security Guards and Escorts), Compliance, Snacks, Scheduling etc.

Adhoc Tasks:


  • To support the daily administrative tasks and updating internal daily systems (TMS, Snacks Portal, iOffice, Internal Repository, etc.)
  • Assist with administrative, operational, analytical, project management activities, communication and change activities in the special projects when assigned.
  • Participate in the implementation of administrative standards, policies, and practices for the organization.
  • Maintain all data reports on our internal repository on monthly basis.
  • Deal with ad-hoc queries that may arise within the team.

Requirements:


  • Bachelor’s degree in a related field from an accredited college or university.
  • Prior 6-8 years of experience in administration, transport, facilities, or operations required. 
  • Good proficiency in Microsoft Office (Excel, PowerPoint, Word etc.).
  • Excellent with scheduling, planning and vendor co-ordination.
  • Excellent data management and reporting skills.
  • Ability to manage confidential and sensitive information.
  • Excellent Administrative verbal/ writing and reporting skills.
  • Ability to support projects with minimal guidance within defined timelines. 
  • Ability to effectively present information and respond to queries. 
  • Ability to interpret a variety of instructions in written, oral, diagram, or schedule form.
  • Ability to manage sensitive, confidential information
