Receptionist:
As a Receptionist, you will serve as the first point of contact for visitors, clients, and employees, providing exceptional customer service and administrative support. Your primary responsibilities will include greeting guests, answering phone calls, managing inquiries, and assisting with various administrative tasks. Your professionalism, communication skills, and attention to detail will contribute to creating a positive and welcoming environment for all stakeholders.
Responsibilities:
Front Desk Management:
- Welcome visitors and guests with a warm and friendly demeanor.
- Manage the reception area, ensuring it is clean, organized, and well-presented at all times.
- Maintain a professional appearance and uphold the company's standards of hospitality.
Telephone and Email Communication:
- Answer incoming phone calls promptly and professionally, directing calls to the appropriate person or department.
- Handle inquiries and provide information to callers courteously and accurately.
- Monitor and respond to emails in a timely manner, forwarding messages as needed.
Visitor and Guest Support:
- Register guests and issue visitor badges as required.
- Escort visitors to meeting rooms and notify employees of their arrival.
- Assist with making travel arrangements and accommodations for guests when necessary.
Administrative Assistance:
- Provide administrative support to various departments, including typing, filing, photocopying, and data entry.
- Schedule appointments, meetings, and conference room reservations as requested.
- Assist in coordinating office events and activities, including catering and logistics.
Mail and Package Handling:
- Sort and distribute incoming mail and packages to appropriate recipients.
- Prepare outgoing mail and packages for shipment, including arranging courier services when needed.
- Maintain accurate records of incoming and outgoing mail and packages.
Office Supplies and Equipment:
- Monitor and maintain inventory of office supplies, placing orders as needed.
- Ensure office equipment such as printers, copiers, and fax machines are in good working condition.
- Coordinate with vendors for equipment maintenance and repairs as necessary.
Requirements:
- High school diploma or equivalent; additional qualifications in Office Administration or related field is a plus.
- Proven experience (0-2years) as a receptionist, front desk representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office software.
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Professional appearance and demeanor.
- Knowledge of office equipment and procedures.
- Ability to maintain confidentiality and handle sensitive information with discretion.
