Lumen India is looking for an experienced and proactive Executive Assistant to support the Country Head and Managing Director in managing the day-to-day operations of the business. The Executive Assistant will be responsible for providing administrative, logistical, and strategic support to the MD and to the India HR Head, as well as acting as a liaison between internal and external stakeholders. The ideal candidate will have excellent communication, organizational, and problem-solving skills, as well as the ability to handle confidential and sensitive information with discretion.
Responsibilities :
Act as the single point of contact for all executive administrative needs at Lumen India.
Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Proactively maintains the calendars.
Responsible for administrative needs for all company-wide events - All Hands, Town Halls, Offsites etc.
Coordinates and supports all logistics for meetings and company-wide events - Provide support to stakeholders, including coordination of transportation, accommodations, meeting preparation (preparing meeting materials) technical assistance etc.
Prepare and edit correspondence, reports, presentations, and other documents. Prepare meeting materials, including minutes of meeting, provides historical reference by developing and utilizing filing and retrieval systems, recording meeting discussions.
Communicate status updates on regular frequency to stakeholders as required.
Maintains customer confidence and protects operations by keeping information confidential.
Prepares organization reports, e.g. Organization Charts, organization demographic details etc. by collecting and analyzing information.
Works collaboratively with various internal departments to establish clear stakeholder expectations to ensure all deliverables are completed on-time
Takes care of domestic and international travel arrangements (flights, hotel accommodation, airport transfers, local transportation, forex, visa etc.) and expense reconciliation for executive support
The Ideal Candidate Should Possess
Bachelor's degree in business administration, management, or related field.
10+ yrs experience working with CXO in a technology organization.
Possess critical thinking skills to problem solve independently to meet timelines and requirements.
Be proactive in identifying and resolving issues.
Excellent skills with MS tools - Outlook, Word, Excel, Powerpoint, Power BI.
Excellent verbal, written and interpersonal communication skills, in English and required regional languages.
Excellent interpersonal, communication, and presentation skills.
Strong organizational, time management, and multitasking skills.
High attention to detail and accuracy.
Ability to work independently and as part of a team.
Ability to handle confidential and sensitive information with discretion.
Ability to handle pressure situations in a calm and professional manner.
