Key duties and responsibilities:
- Ensure smooth functioning of all facilities like travel desk, security, asset management etc at all company premises.
- Prepare and monitor administration budget.
- Always look for cost beneficial schemes / Programs for the Company / Employees.
- Responsible for renewal of AMCs(Annual Maintenance Contracts) with vendors and lease agreements with tenants and negotiate the terms and conditions of the same.
- Bill processing and payments to vendors.
- Guest House management.
- Maintain records of lease deeds, payment schedules, deposits or advances made to ensure zero defaults and penalties
- Maintain logs, records, statements of expenses, bills, assets registers for assets
- Ensure registration and other formalities on lease and contracts, schedule of renewals and invite offers for renewals
- Maintain MIS and records and submit returns and statistics as required from time to time
- Maintain healthy relations with all concerned officials (Govt. Political, Local, district administration etc.) and ensure all compliance.
- Manage and monitor Company owned/Employee vehicles / flat leasing, house keeping, conference arrangement, pantry service, guest house maintenance and management etc.
- Administer admin feedback survey, analyze the findings and take proper action
- Take new administrative initiatives to make the work place a better one.
Experience & Skills:
- Should have an overall experience of over 8-10 years in a medium to large scale organisation with responsibilities to sourcing and maintenance of premises
- Should have a sound exposure on overall office facility management handlings.
- Should have an eye for detail to negotiate contracts, hotel liasioing & bookings, car travels, Guest House, and other such dealings.
