We are seeking a highly organized and experienced Administration and Facilities Manager to oversee the efficient operation of our facilities and administrative functions. The ideal candidate will be responsible for managing facility maintenance, security, safety, and administrative services to ensure a safe, productive, and comfortable work environment for employees and visitors.
- Develop and implement facility management policies, procedures, and standards to maintain a safe, clean, and functional work environment.
- Coordinate and oversee facility maintenance, repairs, and renovations, including HVAC, plumbing, electrical, and structural systems.
- Manage vendor relationships and contracts for facility services, including janitorial, landscaping, security, and waste management.
- Implement and enforce safety protocols and procedures to ensure compliance with regulatory requirements and industry standards.
- Conduct regular safety inspections and drills, and maintain emergency response plans and procedures.
- Supervise administrative staff and oversee daily administrative operations, including reception, mailroom, and office supplies.
- Coordinate office moves, space planning, and furniture procurement and manage business continuity and disaster recovery plans
- Develop and manage the facilities and administrative services budget, including forecasting, expense tracking, and cost-saving initiatives.
- Review and approve invoices, purchase orders, and contracts related to facility and administrative services. Financial MIS and tracking of budget
- Collaborate with internal stakeholders, including department heads and executive leadership, to understand Facility and administrative needs and priorities.
- Communicate regularly with employees to address facility-related issues and solicit feedback on services and amenities.
- Supervise canteen staff and ensure high level hygiene in the canteen area.
- Mange and supervise the employee transportation and ensure the cost effective employee transportation with safety."
Qualifications:
- Bachelor's/Masters degree in business administration, facilities management, or a related field.
- Proven experience in facility management, including maintenance, safety, and security.
Skills:
- "Strong leadership and management skills, with the ability to motivate and develop a team.
- Excellent communication and interpersonal skills, with the ability to interact effectively with employees, vendors, and external partners.
- Knowledge of relevant regulations and standards related to facility management, safety, and security.
