Title: Admin Assistant - CEO Office
Location: Kinfra Techno Industrial Park, Kakkanchery, near Calicut University
Overview:
Join our team as an Assistant supporting our CEO OFFICE, where you'll play a vital role in maintaining efficient office operations and providing direct assistance to the CEO OFFICE team.
Responsibilities:
- Calendar and Schedule Coordination: Assist the CEO OFFICE in managing the CEO’s calendar, scheduling appointments, and arranging meetings, ensuring accuracy and timeliness.
- Communication Management: Handle calls, emails, and correspondence, responding as appropriate, maintaining professionalism and confidentiality.
- Documentation and Reporting: Support in drafting, proofreading, and formatting reports, SOPs, mails, and documents for the CEO’s review.
- Meeting Support: Prepare meeting agendas, Majilis coordination, attend meetings when necessary, and take accurate minutes for distribution.
- Travel Arrangements: Assist in organizing travel itineraries, accommodation, and transportation for the CEO, ensuring smooth and cost-effective travel.
- Office Administration: Manage office supplies, equipment maintenance, and ensure the office environment is organized and conducive to productivity.
- Database Management: Manage and regularly update client databases, meticulously documenting significant dates, collaborating closely with the Business Development department to coordinate timely greetings and ensure personalized communication.
- Task Prioritization: Assist in prioritizing tasks and managing deadlines, ensuring that critical matters are addressed promptly.
- Special Projects Support: Aid in research, data collection, and coordination of special projects of CEO OFFICE as assigned.
- Collaboration and Coordination: Liaise with other departments or assistants to facilitate effective communication and collaboration across the organization.
Requirements:
- 1 to 3 years of experience in an administrative or assistant role preferred.
- Strong organizational skills with attention to detail.
- Exceptional numerical reasoning and analytical skills
- Excellent communication skills, both written and verbal.
- Proficiency in MS Office Suite and basic administrative tools.
- Ability to multitask and adapt in a fast-paced environment.
- Discretion in handling sensitive and confidential information.
