Job Overview:
As the Personal Secretary to the MD. & CEO And Other CXOs, you will play a pivotal role in providing comprehensive administrative and secretarial support to the executive leadership team. This position requires exceptional organizational skills, discretion, and the ability to manage a variety of tasks in a fast-paced corporate environment.
Key Responsibilities:
Executive Support:
Provide high-level administrative support to the MD & CEO And Other CXOs, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Act as the primary point of contact between the executives and internal/external stakeholders, effectively managing communication and prioritizing inquiries.
Documentation and Correspondence:
Prepare and edit correspondence, reports, presentations, And Other documents as required by the executives, ensuring accuracy and professionalism.
Maintain confidentiality and handle sensitive information with discretion and integrity.
Meeting and Event Coordination:
Organize and coordinate executive meetings, conferences, and corporate events, including logistical arrangements and agenda preparation.
Distribute materials, and follow up on action items arising from meetings.
Information Management:
Manage and maintain executive databases, filing systems, and document repositories to ensure efficient access to information.
Conduct research and compile data to support executive decision-making processes.
Relationship Management:
Cultivate and maintain positive relationships with internal teams, external partners, and clients on behalf of the executives.
Liaise with various departments to facilitate cross-functional collaboration and streamline workflow processes.
Administrative Support:
Handle incoming calls, emails, and inquiries, directing them to the appropriate parties and providing timely responses when necessary.
Assist with special projects, presentations, and ad hoc assignments as assigned by the executives.
Plan & Assist Team in implementing various employee engagement activities.
Communication & Writing Skills:
Have a good understanding of written and speaking skills. Assist in preparing various documents and presentations for the MDs Office.
Qualifications and Skills:
Bachelor's degree in Business Administration, Secretarial Studies, or related field preferred.
Proven experience of 6-7 years as an executive secretary, personal assistant, or similar role, preferably in a corporate environment.
Proficiency in office productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with digital communication tools.
Excellent communication skills, both written and verbal, with a keen attention to detail.
Strong organizational abilities, including the ability to prioritize tasks, manage time effectively, and meet deadlines.
Discretion and confidentiality in handling sensitive information and dealing with high-level executives.
Ability to work independently with minimal supervision and adapt to changing priorities in a dynamic work environment,
