Job description

  • The purpose of this role is to ensure effective management of BT Meetings Billing Systems & Process Integration Engine (PIE) which is a workflow management system.

  • Ensures that each regional team is managing all daily activities of the Billing function, including invoice processing and internal controls relating to the invoice cycle.

  • Working with all BT Meetings departments and BT Business to continually improve billing with a view to the growth potential of the business.

  • The post holder will be responsible for driving profitability and growth in BT Meetings, working with the BT Meetings billing teams as a trusted leader, helping drive the business forward in a proactive manner.

  • The role holder will work with Finance, IT, Product, Data and Sales team members in support of the complete customer lifecycle from quoting though invoicing.

  • The ideal candidate will have a strong knowledge of various BT Meetings BSS Systems which support the whole lead to cash journey.

  • The candidate must be proficient in written and spoken English and be able to work in US

Key Responsibilities

  • A key member of the team that will be responsible for the for the overall implementation, performance, and continuous improvement of the billing systems and applications supported
  • A key member of the team that will be responsible for owning the development of the billing process in order to ensure the strategy and processes for billing are in line with the growth expectations and strategy of the business as a whole.
  • Ensures that in each local region BT Meetings Billing activities are progressing, encompassing collection through to output of invoicing files including View My Bill Online (VMBOL).
  • Minimisation of BT Meetings debt globally, ageing, debtor days.
  • Design an ownership of strategic initiatives to improve the efficiency and standardisation of BT Meetings Billing function globally.
  • Relationship with BT Business incl. charging.
  • Ensure design and configuration of the billing system meets business owners requirements.
  • Troubleshoot system issues and errors and clearly communicate their root cause, status of resolution, and recommendations to prevent reoccurrence.
  • Maintain relationships with technical and non-technical stakeholders; ensure timely dissemination of information.
  • Ensure data integrity within the billing system.
  • Maintain documentation of systems, processes and procedures
  • Understands and adheres to industry best practices related to system administration.
  • Provide training as needed.

Standard Responsibilities

  • Directs the design of the modules of the GBS online billing system (account approval, service approval, product catalogue, service plan assignment, error queues, VMBOL, EOC).
  • Main point of contact for Product, Sales, Foundational or other groups that wish to offer new billing offerings that are not developed.
  • Ensures that in each local region raises timely and accurate monthly invoices for all revenue sources (both external and the detailed back-up for the internal revenue)
  • Ensures that the regional data flow of information between the GBS billing system Onward and the Oracle Financials accounting system and the Onward billing system and Great Plains accounting system.
  • Billing PCI & Sarbanes Oxley compliance
  • Liaises with customers (internal eg BT Business as well as external) in reference to billing requirements, address queries and deficiencies when customer s expectations are not being met.
  • Manage distribution of credit notes to customers against raised revenues.
  • Complete global management reports including regular performance, red flags, and highlights.
  • Ownership of the internal controls for the billing process as a whole, communicating changes to the business.
  • Identify areas of weaknesses in billing processes and working with other departments in the business to develop process and data quality improvements.

Skills and Experience Required

  • Bachelors degree from an accredited college or university in a Finance or Technology related field, comparable technical institute certification, systems administration training, or equivalent work experience preferred
  • Full understanding of the billing cycle and the key components of the process.
  • Experience within the BT Meetings business highly desirable, not essential
  • Ability to communicate and build relationships within the company and with external customers on all levels
  • Ability to deliver result within a fast paced organisation whilst being able to plan for process improvements to meet future business requirements
  • Ability to think analytically and deliver constructive feedback
  • Leads by example, proven ability to work with energy and drive.
  • Demonstrates high levels of initiative, ability to think creatively, initiates and implements ideas and solutions.
  • Manages projects through to completion, assists in the coaching and training members of the team Detail oriented with excellent organization skills
  • Proficient in working with Microsoft Office Word and Outlook, advanced Microsoft Excel
  • Excellent verbal, written and interpersonal skills, English spoken and written language proficiency required
  • Ability to handle multiple tasks and prioritize to meet deadlines
  • Ability to work in a cross-functional team environment
