Job Description
We are seeking a highly organized and proactive Admin Executive to support our operations in Pune. The ideal candidate will be responsible for handling a variety of administrative tasks, including coordination for deliveries, managing petty cash expenses, courier coordination, invoicing, and customer report management. This role requires excellent communication skills and the ability to manage multiple tasks efficiently.
- Coordinate deliveries between the Head Office and customers, ensuring timely and accurate dispatch and receipt.
- Manage petty cash expenses and maintain accurate records.
- Handle courier coordination, ensuring timely dispatch and tracking of documents and packages.
- Prepare and send invoices to customers in both hard and soft copies.
- Generate and manage customer reports, such as courier reports and other specific requests.
- Oversee actual material deliveries to customers, coordinating logistics to ensure timely delivery.
- Address and manage the procurement of office supplies and other requirements for the Pune office.
- Follow up on GRN (Goods Received Note) generations with customers to confirm receipt and processing of deliveries.
- Coordinate with internal and external stakeholders, including communication with HO Commercial team for updates on material arrivals, billing, and other operational details and Co-ordinate with HO Admin team other IT and Admin requirements.
- Conduct payment follow-ups to ensure timely receivables management.
Requirements
- Bachelor’s degree in Business Administration, Management, or related field.
- 1 to 2 years of experience in administrative roles, preferably with experience in logistics or operations management.
- Strong organizational skills and the ability to multitask effectively.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office and other office management software.
- Ability to handle sensitive and confidential information with discretion.
- Proactive problem-solver with attention to detail.
