Job Summary: The Admin Senior Executive is responsible for overseeing and coordinating administrative functions within the organization, ensuring a smooth and efficient operation of day-to-day activities. This role requires a combination of organizational skills, attention to detail, and the ability to handle diverse administrative tasks.Â
Key Responsibilities:
Office Management:
- Supervise and manage daily office operations, ensuring a well-organized and productive work environment.
- Coordinate office resources, including space allocation, equipment, and supplies. Vendor Management:
- Establish and maintain relationships with vendors, negotiating contracts, and ensuring costeffective services.
- Monitor service providers' performance and address any issues that may arise.
- Coordinate travel arrangements for employees, including booking flights, hotels, and transportation.
- Manage travel itineraries and ensure adherence to travel policies.
- Plan and coordinate internal and external events, meetings, and conferences.
- Arrange logistics, catering, and necessary materials for successful event execution.
- Maintain accurate records of administrative activities, including expense reports, invoices, and office inventory.
- Prepare reports on administrative metrics as required.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Draft and proofread official documents, letters, and announcements.
- Oversee facilities maintenance, including repairs, renovations, and security.
- Ensure compliance with safety regulations and emergency preparedness.
- Provide administrative support to various departments and executives as needed.
- Assist in coordinating schedules, appointments, and meetings.
- Ensure compliance with organizational policies and procedures.
- Keep abreast of relevant laws and regulations affecting administrative functions.
- Bachelor's degree in Business Administration, Management, or a related field.
- Proven experience in administrative roles, with a focus on senior-level responsibilities.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in office software (e.g., MS Office suite) and familiarity with administrative tools.
- Ability to work independently and collaboratively in a team.
- Detail-oriented with a focus on accuracy and efficiency.
