What this job involves
Leading on-site operations for multiple sites across Mumbai
At JLL, we put focus on our clients’ needs, and we want you to do the same. You will take charge of all programs that we have for clients’ properties. Be it site operations, contract, procurement, financial, or team management, you’ll ensure our service delivery is at its best. You’ll also be our clients’ eye on all operational matters. In this role, you will promote seamless and competitive operations by collaborating with the top management and site team for both client and JLL. You will drive a spirit of collaboration to ensure that the account-based team runs to maximum efficiency, allowing us to achieve our client’s ambitions.
More importantly, you will support various client-specific programs such as technology launches, trainings, and user experience initiatives. Being at the heart of operations management, you’ll also oversee all key performance indicators in the region and make sure that the team is meeting our clients’ requirements. Among your other mandates, include system integrity audits, reports, presentations, and overall portfolio management.

In this role, you will lead a team of Property / Asset management experts—while creating a working environment that promotes collaboration, performance, and personal growth. Additionally, you’ll take charge of the site’s financial operations targets, process compliance and risk management.
Key Responsibilities
Ensure the delivery of all operational requirements in accordance with the clients’ scope of works
Support the implementation of operational procedures and performance measures to ensure simplification and accuracy of work methods, reliability of systems and consistency across the Sites.
Work with the respective clients and site teams to address specific operational issues
Drive initiatives such as user experience programs, JLL system rollouts, training programs/workshops and other initiatives as appropriate, through coordinating implementation and consistency across all the sites.
Implement Client specific initiatives such technology rollouts, benchmarking, best practices etc.
Actively work closely with the Finance, Engineering and Hospitality teams to ensure that all site financial operations are meeting or exceeding targets and financial processes as well as controls are always adhered to.
Ensure compliance with JLL and client Health, Safety, Environment and Risk Management policies and procedures
Ensure data integrity of all systems across the sites and perform audits from time to time
Oversee and monitor SLA/KPI performance across the sites and to address issues and ensure they are meeting or exceeding target scores
Generate reports and conduct presentations as per the service delivery requirements and overall account management.
Timely Agreements are closed and monitored
Timely Invoicing and collections
Timely Audits and Trainings are conducted at sites
Others
Any other duties assigned by line manager or client.
Overseeing all building systems including fire/life safety, MEP and all critical utilities.
Ensuring the documentation of assets under asset list/ tracker.
Ensuring the documentation and checking of the assets under defect liability period and AMC/CAMC in a tracker.
Be responsible for hiring, training and development of shift engineers and maintenance staff.
Formulating suitable budgeting controls and Monitoring SLA’s & KPI’s for JLL and outsourced agencies towards effective service deliverance.
Maintaining service level agreements and keeping performance indicator scores above excellence.
Ensuring timely renewal of the agreement, submission of invoices and follow-ups for the payments.
Overseeing all vendor quotations and invoices.
Ensure proper signoffs for attendance and all the required details for cost sheet submission.
Ensuring timely submission of client approved cost sheet to JLL office and following up for the invoice.
Play a key role in managing Engineering operational accounts for buildings as required and assisting in budgeting.
Recommending/implementing Asset specific maintenance, safety procedures and enforcing compliance
To ensure all the planned preventive maintenance (PPM) are being timely carried out.
Suggest and implement improvements for preventive maintenance programs as required.
Coordinating with contractors, tenants and engineers.
Maintaining service /repair contracts.
Conducting risk/root-cause analysis in case of system failures and breakdowns and creating corrective /preventive action plan.
Implementing and administering inventory control programs for purchase of parts and utilisation.
Assessing of the building operations and working towards mitigation of highlighted inherent risks.
Conducting regular inspections of operating MEP equipment systems; making necessary adjustments and managing controls as per requirements.
Ensuring compliance with applicable codes, regulations, government agencies and company directives.
Manage and maintain electromechanical / utilities services at the site with the help of technician team.
  • Prepare and implement planned preventive maintenance (PPM).

  • Review work of subordinate staff and provide guidance when needed.

  • Planning and implementing for energy conservation.
  • Prepare monthly readings sheet with occupants and ensure all check-sheets and logbooks are being filled properly as per the schedule.
  • Maintain history cards for all equipment’s.
  • Attend major complaints & escalate to senior & co-ordinate with technical staff if necessary.
  • Ensure work permits are in place and safe working practices /procedures are followed.
  • Assist the Property Manager/ Assistant Property Manager/ Technical Manager in conducting risk assessment of the building operations and work towards mitigation of highlighted inherent risks and in conducting root cause analysis in case of system failure and breakdowns.
  • Create corrective, preventive and emergency response action plans.
  • Take part in evacuation Drills and be a part of ERT/QRT team.

Qualifications
You will have a Degree in Electrical/Mechanical / with min 7+ years of working experience in Facility Industry /Real Estate/ Hotel or Construction Industry.
Additionally, this role requires a thorough understanding of all safety and environmental concerns as they relate to the equipment and the overall plant arena.
