Job description

Indian Institute of Management, Nagpur is looking for a qualified & experienced Programmes Officer/Sr. Programmes Officer for the Degree-granting programmes (MBA, Executive MBA & Ph.D.) for the efficient operational planning, execution, and evaluation of programmes.

The Programmes Officer/Sr. Programmes Officer will work in collaboration with the Dean Academics, Chairperson of the respective programmes, Faculty, and other senior functionaries of the Institute to ensure administrative adherence to academic policies and procedures.

Job Description

Position: Programmes Officer/Sr. Programmes Officer– Degree Granting Programmes

Qualification and Experience:

  • Applicant should have a Graduation degree with minimum 55% marks in any discipline from a reputed Institute. A degree/diploma in Management will be preferred.
  • At least 12 years of experience in Academic administration of a reputed higher education institution, out of which at least ten years of experience should be directly related to the job description specified in case of applicants with a Graduation degree / at least eight years of experience should be directly related to the job description specified in case of applicants with a Post-Graduation degree
  • A minimum of 3 years of experience of leading a team will be desirable.
  • Experience at IIMs/IITs/NITs or any other premiere education Institution at the level of Section Officer/ Assistant Registrar/ in-charge – Academic Office/ Administrative Officer is desirable.

Age: Minimum 35 Years

Job Profile:

The Programmes Officer/Sr. Programmes Officer will be responsible for entire activities related to all the degree-granting programmes, such as administration, coordination with faculty members, and assistance in the smooth conduct of classes, examinations, and relevant academic activities. The candidate will also be responsible for handling the team of Programme coordinators of different programmes.

The broader Job profile will include the following (though not exhaustive):

  • Academic Program Management:

Coordinate and manage the academic programs, including MBA, Executive MBA and Doctoral programs.

Ensure the timely and effective execution of academic schedules, curricular requirements, and course offerings.

Efficient overall programme planning & execution, including but not limited to:

  • Scheduling & Calendar management
  • Faculty coordination
  • Resource management
  • Teaching & Training aids
  • E – resource management
  • LMS systems
  • Attendance management
  • Evaluation & Grading
  • Inbound & Outbound training facilities
  • Convocation & Valedictory functions
  • Documentation for Accreditation
  • Feedback management & timely corrective actions etc.
  • Coordinate and supervise the program coordinators in the academic office.

Course Registration:

  • Assist students in the registration process for different courses, and manage the registration system. This may involve resolving registration-related issues and conflicts.

Student Records Management:

  • Oversee the maintenance of student records, including enrolment, grades, and academic progress.
  • Ensure compliance with data protection and academic regulations.

Course Scheduling:

  • Coordinate course scheduling, room assignments, and faculty assignments to optimize resource utilization.
  • Resolve scheduling conflicts and ensure a smooth academic calendar.

Academic Policies and Regulations:

  • Creation of relevant policies / ordinances in consultation with different academic bodies and regulations, Interpret and communicate academic policies, regulations, and procedures to students, faculty, and staff.
  • Ensure compliance with academic standards set by the institution and relevant regulatory bodies.

Academic Reporting:

  • Prepare and submit academic reports, including enrolment statistics, student performance data, and other relevant information to the management and regulatory bodies.

Examinations and Assessments:

  • Oversee the planning and execution of examinations and assessments.
  • Ensure the integrity and security of the examination process.
  • Supervise the continuous assessment, examination procedures, and credit evaluation systems & processes.

Orientation and Valedictory functions:

  • Coordinate academic orientations for new students and participate in valedictory functions and related activities.

Quality Assurance:

  • Monitor and maintain quality assurance in academic programs, including accreditation requirements.
  • Implement best practices to enhance academic quality.

Continuous Improvement:

  • Suggest and implement process improvements and best practices in academic administration.
  • Stay current with evolving academic trends and policies.

Budget Management:

  • Manage the budget efficiently, tracking expenses, and ensuring cost-effectiveness in all initiatives.

Performing miscellaneous Institute duties as assigned from time to time.

Key Skills:

  • Strong interpersonal and communication skills, programme planning and implementation skills,organizing resources, and establishing priorities.
  • Excellent command over MS Office (Excel, Word, and PPT) and other relevant academic software / LMS (Moodle)/ERP and fair understanding of the administrative procedures of purchase.
  • Ability to gather data, compile information, and prepare reports.
  • Ability to supervise and train employees, including organizing, prioritizing, and scheduling work assignments.
  • Ability to foster a cooperative work environment.

Salary & Benefits: Selected candidate will be offered initially a fixed-term appointment for one year on IIM Nagpur contract on a consolidated monthly salary within the range of INR 1,00,000 to 1,70,000 commensurate with qualification and experience. In addition to this the perks & allowances will be paid as per Institute norms.

The contract may be extended for another period or the candidate may get the opportunity to apply for regular vacancy based on the performance / satisfactory discharge of duties, availability of the vacancy and suitability of the candidate as per the requirement of the Institute and recruitment norms.

The staff accommodation will be provided as per the Institute policy.
