The opportunity
The GDS Alliances Procurement Program Operations Coordinator will function out of the GDS Alliances Delivery Center and will be responsible for providing ongoing support to various onshore vendors, stakeholders, spanning the Markets, BMC, Procurement, GCO and Finance organizations. The incumbent will own the Alliances Procurement enablement support and will work towards defining the processes, the various handoffs and will deploy/operationalize the support model. The incumbent will ensure that high quality service is provided in an effective and timebound manner.
Your key responsibilities
- Prepare and submit Supply Chain Services (procurement) requests on behalf of the Global Ecosystem Relationships organization
- Validating existance and validity of Master Services Agreement (MSA) and evaluate previous vendor experiences
- Preparation of draft Statement of Work (SOW), Scope, Budgets and Key Milestones (overall timelines)
- Coordinate the review process for the SOW with Alliances, BMC, Global GCO, track/ensure incorporation of reccomendations
- Draft business risk evaluation (BRIDGE) and co-ordinate signoff with Sponsor
- Share signed and approved SOW with vendors for review, track and cascade vendor acceptance or responses
- If further vendor negotiations are required, coordinate with Global GCO, thereby facilitating the same
- Coordinate approval and sign off for vendor-accepted SOW, with the concerned Sponsor
- Coordinate with Vendor support team to set up new vendors in Mercury
- Raise Purchase Order (PO) in Mercury, co-odinate approvals and dispatch PO to Vendor
- Oversee and co-ordinate the delivery of goods and services by the vendor, ensure good/service receipt note and Invoice is received
- Perform 1st level 3-way check between PO, Goods/Service Delivery Note and Invoice, submit these to AP for processing
- Follow up on vendor payments, raise accruals, track and manage budgets
- Maintain tracking and reporting as appropriate, ensure any delays or issues are escalated and resolved in a timely manner
Skills and attributes for success
- Good understanding of Finance and Procurement (P2P) functions and offshore operations
- Knowledge of the S2P life cycle, experience in sourcing would be an added advantage.
- Should have experience with SOW preparation, purchase order preparation, and documentation.
- Working knowledge of AP and AR, from both a transactional and reporting perspective
- Experienced in vendor management, vendor communication and vendor negotiation.
- Ability to understand circumstances and provide insightful guidance, be a trusted business advisor.
- Demonstrated ability to engage with senior stakeholders onshore and work with them to build an efficient and effective service delivery model.
- Project planning, management & transition management capability
- Should be excellent with tools like MS Excel, PowerPoint and should have experience with workflow tools, Finance tools and Reporting platforms. Should be skilled at managing versions, tracking changes, comparing documents, etc.
- Exposure to Power Bi would be an added advantage.
To qualify for the role, you must have-
- Graduate or post-graduate degree in commerce/finance.
- 7+ years of relevant hands-on experience in procurement/sourcing/vendor management
