What You'll Do
You will be responsible for managing the transport requirements for colleagues and administering transport services with the help of a GPS-based tracking and management system.
- Providing pick-up and drop-off services for more than 800 employees
- Guiding team members and being self-sufficient in scheduling pick-ups and drops according to shift times to ensure no escalation
- Managing the back-to-back pickups and ensure on-time arrivals of cabs
- Managing ad-hoc pickups and drop-offs of members and clients
- Interacting with members and solving their problems in the dropping area
- Monitoring emails and replying with resolutions
- Ensuring all mobile tabs devices are in working condition
- Ensuring 100% compliance of cab and drivers
- Giving special consideration to female security and tracking cabs with female employees
- Handling queries related to MoveInSync Transport management software and providing solutions
- Generating various MIS reports on a daily and weekly basis
- Working in close coordination and cooperation with other administration departments
- Processing order and maintaining MIS for orders and expenses with attention to detail, processing procurement documentation, inviting quotation, making comparison, making PO and maintaining records for all explicit of administration
- Record keeping for all kinds of administration agreements, contracts and AMCs
- Maintaining vendor database, clearing of bills, timely payment
- Creating and maintaining monthly expense report etc.
Qualifications
- Graduate preferably with specialization in hotel management
- 1+ years of experience in core administration in corporate environment, strong organizational and administrative skills
- Proficient in MS Office software (e.g. Excel, Word, PowerPoint)
- Proven track record on coordinating housekeeping and cafeteria activities in corporate office
- Ability to work independently and manage multiple priorities/processes at the same time, and prioritize effectively
- Performs well under pressure and meets deadlines effectively
- Resourceful and proven effectiveness working with vendors and suppliers
- Strong customer service orientation and outstanding customer service skills with ability to interact effectively at all levels
- Responsiveness to multiple (often ad hoc) requests and strong sense of urgency
- Possesses high energy, a "can-do" attitude, a willingness to take initiative, and a proactive approach to practice and team support
- Flexibility to work longer hours during peak work periods
- Strong and fluent in written and verbal communication skills respectively - able to clearly and concisely convey key information through a variety of communication channels (voice mail, e-mail, face to face)
