Office Associate Job Description:
1. Summary
The organization is seeking a dedicated capable self-motivated and talented Office Associate to assist our office management. The ideal candidate needs to be a self-starter and a trusted advisor able to support Chhanv Foundation’s vision-mission delivery, and general organizational communications needs. Ultimately, one will be responsible for continuing the success of our daily office operations — and ushering in a new era of growth at Chhanv Foundation.
2. Line of Reporting
The Office Manager reports to the Administrative Head. They will work closely with the Media and Administrative team.
3. Responsibilities
- Overseeing general Human Resource operations: Hiring Responsibilities, Monitoring internal HR systems and databases, Designing and implementing organization’s policies, and Addressing employees’ queries.
- Ensure the highest possible level of service to donors, stakeholders, and partner organizations. This may involve managing relationships for a portfolio of donors. Ensure quality, consistency, and continuity in the Chhanv Foundation’s approach to all of them.
- Greeting visitors, answering incoming phone calls, and delivering responses to our partners, associates, supporters, and volunteers.
- Coordinating appointments and meetings and managing staff calendars and schedules.
- Promote, develop, coordinate, and maintain schedules for online and offline events as well as come to the venue for organizing work.
- Writing letters on office-related matters to internal and external personnel or authorities.
- Coordinating domestic and international travel, including flight, hotel, and car rental reservations.
- Purchasing office supplies, digital tools & software, and equipment while maintaining proper stock levels. Also, ensure the recurring payments for the same.
- Ensure timely reimbursements through the accounts department on office-related expenses.
- Assist managers of different projects with their project logistics on an administrative level.
- Project Coordination:Ensuring that projects are executed effectively and within stipulated timelines.
- Producing reports, composing correspondence, and drafting new contracts.
- Creating presentations, content and other management-level reports.
- Education & Training - Responsible for Training and Coordination under the Sheroes Education and Skill Development Project.
4. Requirements
- Bachelor’s Degree with at least 2-3 years of relevant experience. Prior experience in non-profit work is highly preferred.
- Possess strong written and verbal communication skills
- Proven experience creating targeted content is advantageous.
- Strong knowledge of communication practices and techniques.
- Excellent knowledge of MS Office, databases, and information systems
- Adaptable and flexible to changing circumstances and needs of the role, including flexibility in working hours to ensure coordination with key colleagues in different locations and time zones.
5. Work Location
For this post, the candidate would be placed in Noida. The Project location is Noida Sector 23.
