Job description

Job Overview: 

The Human Resources Compliance Specialist ensures the company's compliance with all local, state, federal, and international HR regulations, guidelines, and standards, Monitoring employees work, Monitor Devices/Equipment's. This role is instrumental in implementing HR policies, conducting audits, and ensuring all HR processes are legally compliant. 

Responsibilities: 

Policy Development and Implementation:  Assist in the development and implementation of HR policies and procedures that adhere to legal and industry standards. 

Compliance Auditing:  Conduct regular audits of company policies and procedures to ensure they are in compliance with applicable laws and regulations. 
Training and Education: Develop and implement training materials and programs for HR staff to enhance understanding of and compliance with applicable laws and regulations. 

Reporting and Documentation : Prepare and maintain documentation such as reports and logs to evidence compliance activities and to support investigations or audits. 

Research and Analysis:  Monitor legislative and regulatory changes, interpret relevant laws and regulations, and provide recommendations on necessary organizational policy or process changes. 

Advice and Guidance: Provide advice and guidance to HR and management staff on compliance matters, potential risks, and the interpretation of relevant laws and regulations. 

Compliance Monitoring:

  • Regularly review and monitor Employee Performance and Attendance, other HR policies and practices to ensure compliance with federal, state, and local employment laws and regulations.
  • Conduct internal audits to assess compliance with company policies and identify areas for improvement.
  • Monitor Devices and Equipment 

Training and Education:

  • Develop and deliver training programs on compliance-related topics for HR professionals, managers, and employees.
  • Stay current with changes in employment laws and regulations, and ensure that HR teams are informed and trained accordingly.

Investigations:

  • Conduct internal investigations related to HR compliance matters, including discrimination, harassment, and workplace misconduct.
  • Work closely with legal counsel as needed and ensure timely resolution of compliance-related issues.

Recordkeeping and Reporting:

  • Maintain accurate and up-to-date records related to HR compliance activities.
  • Prepare regular reports on compliance metrics and present findings to HR leadership.

Collaboration with External Agencies:

  • Serve as the point of contact for government agencies and auditors during compliance-related inspections or audits.
  • Coordinate responses to inquiries and ensure all required documentation is provided promptly.

Employee Relations:

  • Collaborate with HR and management to address employee relations issues, ensuring resolution in compliance with applicable laws and regulations.

Requirements: 

Education:  Bachelor's degree in Human Resources, Business Administration, or a related field. Professional certifications such as SHRM-CP or PHR could be advantageous. 

Experience: 

  • Minimum of 5 years of experience in HR compliance roles, with a strong understanding of federal, state, and local employment laws.
  • Proven experience conducting internal investigations, Employee Performance monitor, Monitoring Equipment's and Devices, and implementing compliance programs.

Technical Skills:  Expert with Microsoft Intune, Monitoring Tools like SentryPC. ActivTrak, InterGuard, Teramind, Monitoring Employee Performance, Other Compliance and Attendance Maintenance, Proficiency in Performance Management tool - BambooHR, Proficiency in HRIS and other HR-related software. Knowledge of MS Office. 

Skills:

  • In-depth knowledge of HR policies, procedures, and best practices.
  • Strong analytical and problem-solving skills.
  • Excellent communication and presentation abilities.
  • Detail-oriented with strong organizational skills.
  • Ability to maintain confidentiality and handle sensitive information.

Additional Qualifications:

  • Familiarity with HRIS and compliance management tools.
  • Ability to work independently and collaborate effectively in a team environment.

Soft Skills:  Excellent analytical and problem-solving skills. Strong written and verbal communication skills. Attention to detail. 

Other:  In-depth knowledge of HR laws and regulations.
