Job description

  • Provide high-level administrative support to executives by managing schedules, appointments, and travel arrangements.
  • Coordinate and facilitate communication between executives and internal/external stakeholders, including screening and directing phone calls and emails.
  • Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism.
  • Organize meetings, take minutes, and follow up on action items to ensure timely completion of tasks.
  • Conduct research, compile data, and prepare documents for meetings and presentations.
  • Manage and prioritize multiple tasks, projects, and deadlines on behalf of the executives.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Assist in special projects, events, or initiatives as assigned by the executives.
  • Handle administrative duties such as expense reports, filing, and office management tasks.
  • Liaise with other departments and external contacts to ensure smooth operations and communication flow.
  • Oversee administrative staff and provide guidance, support, and training as needed to Third Party employees.
  • Identify and evaluate suppliers, negotiate contracts, and establish long-term relationships with vendors ensuring quality, cost-effectiveness, and timely delivery of goods and services.
  • Liaise with vendors, suppliers, and service providers, negotiating contracts and ensuring timely payments.
  • Maintain relationships with existing suppliers, assess their performance, and address any issues or concerns that may arise. Continuously seek new suppliers to diversify and strengthen the supply chain.
  • Draft, review, and manage contracts, ensuring compliance, terms negotiation, and adherence to legal standards. Monitor contract execution and renewal processes.
  • To monitor expenses and identify cost-saving opportunities without compromising quality.
  • Ensure procurement activities comply with relevant laws, regulations, and company policies. Identify and mitigate potential risks related to the supply chain.
  • Manage telephone and Sim card provided by company to employees.
  • Handling of Petty cash
  • Manage the Security access-control database in conjunction with the Security Contractor.

Education:

  • Bachelor’s degree in administration / commerce, Management, or related field preferred. In some cases, equivalent experience or a combination of education and experience may be accepted.

Experience:

  • 3-5 years of Experience

Skills:

  • Proficiency in office software such as MS Office suite: Word, Excel, PowerPoint.
  • Exceptional attention to detail and accuracy in work.
  • Ability to anticipate needs and proactively handle issues before they arise.
  • Strong problem-solving abilities and a proactive approach to managing tasks and responsibilities.
  • Discretion and confidentiality in handling sensitive information.
  • Adaptability and the capacity to work effectively in a fast-paced and dynamic environment.
