SUMMARY

We are hiring a Contract Specialist to join our finance team. This role will be pivotal in ensuring effective Contract Management, seamless coordination between our entities in India and the US, and accurate reporting to support the finance and grants management activities.

LOCATION: Delhi


ROLES AND RESPONSIBILITIES

Contracts Management:

  • Establish and maintain tracking system for donor proposals submitted and Donor Contracts signed. Create contract extracts that can be used by the organization as a guideline for operations.

  • Review, negotiate, and manage financial aspects of contracts to ensure compliance with company policies and financial regulations.

  • Understand and work with an approach to automate information, learn automated audits.

  • Ensure all key stakeholders of project understand and adhere to relevant project contractual commitments (e.g. procurement guidelines/regulations, key targets, reporting requirements, evaluations/audits)

  • Collaborate with legal and operational teams to ensure contractual obligations are accurately reflected in financial records.

  • Develop and maintain a contracts tracking system for effective management and timely renewals.

Management of Donor Reporting Process

  • Build in organization-wide coherence and quality through result-based reporting.

  • Strengthen organizational capacity and learning through tools and resources created to facilitate highly competent reporting

  • Write, revise, copy edit and format results-based donor reports

  • Engage with teams to meet specific donor reporting needs and strengthen reporting processes

Financial Reporting:

  • Ensure timely and accurate submission of financial reports to regulatory authorities and internal stakeholders.

  • In consultation with Finance review proposal budgets to ensure project budgets adequately cover required costs (e.g. ensure the budget template used is up-to-date)

REQUIREMENTS

  • Master’s Degree or equivalent in Business Administration, Public Administration, or related field

  • International NGO experience (minimum 5 years field experience or equivalent)

  • Minimum 3 years of Donor Contract Management experience

  • High level of competence in Donor Contract Management and compliance issues.

  • Understanding of risk management

  • Project financial management experience (project budgets and financial reports)

  • Proficient in using accounting software and MIS tools; familiarity with ERP systems is a plus.
