Citizenship & Foundation Program Associate
POSITION OVERVIEW AND PRIMARY RESPONSIBILITIES:
- We are seeking a Program Associate to support efforts across Citizenship. This position will report to the Global Head of Citizenship. There are a variety of projects and responsibilities that include, but are not limited to:
- Citizenship
- Maintain “Citizenship Grants” program (matching gifts and volunteer rewards), reviewing all employee requests in Benevity software regularly per week, to ensure compliance with Citizenship Guidelines
- Create and update content on Benevity software, including volunteer event sign-up pages, unique giving opportunities (ex: disaster relief), and news stories.
- Organize and manage in-person and virtual employee engagement opportunities in India and APAC region including event ideation, coordination, communications, and execution across issue areas and regions, in partnership with existing regional volunteer teams.
- Monitor Citizenship mailbox, serving as a resource for employees with Citizenship-related questions.
- Perform ad hoc research and contribute to projects to drive the overall success of Citizenship.
- Foundation Grant Cycle Management
- Support company Opportunity Foundation grant nomination and application process, reviewing documents for completeness and adherence to Foundation standards, tracking deliverable deadlines, reminding organizations of upcoming due dates.
- Organize grantee documents; this includes communicating with grantee, supporting legal document review, signatures and filing, managing the payment process, confirming payment process and delivery.
- Manage compliance checks (Intelligo) and Equivalency Determinations (NGO Source) for prospective grantees, tracking and collecting information.
Finance:
- Update Foundation financial model to track against projections and cash-flow needs.
- Aide in monthly closing processes, including Bank reconciliations, recording journal entries and preparing trial balance reports.
- Assist in execution of directives from the AOF investment committee including APO stock sales and fund subscriptions.
- Serve as primary point of contact for company Finance, Accounts Payable and Treasury on Foundation grants and expenses.
- Support the annual audit and tax filings process with external accounting and audit firm.
Operations:
- Take meeting minutes at Board of Directors, Grants Council, and Investment Committee meetings.
- Maintain comprehensive annual board-related activities calendar.
- Maintain internal filing and data management systems; assist with any timely data requests.
- Maintain Citizenship and AOF internal microsites with most up-to-date employee resources and information.
PROFESSIONAL QUALIFICATIONS AND REQUIREMENTS:
- A bachelor’s degree and a minimum of 4 – 8 years of work-related experience in financial services, corporate foundation or Corporate Social Responsibility work
- Highly organized and detail-oriented
- Demonstrated passion and commitment to mission-driven work.
- Critical thinking skills with strong quantitative and analytic capabilities (finance, research, data management, and data analysis)
- Enthusiastic, collaborative team player who can effectively partner cross-functionally and internationally.
- Self-motivated and able to prioritize meeting deadlines in a fast-paced environment.
- Exceptionally strong communicator (written and verbal) Strong Microsoft Office skills with demonstrated excellence in PowerPoint and Excel
- Experience with Benevity preferred.
