Hybrid Working

Structured hybrid role:
At Barclays, we offer a hybrid working experience that blends the positives of working alongside colleagues at our onsite locations, together with working from home. We have a structured approach where colleagues work at an onsite location on fixed, ‘anchor’, days of the week, for a minimum of two days a week or more, as set by the business area (or nearest equivalent if working part-time hours). Please discuss the working pattern requirements for the role you are applying for with the hiring manager. Please note that as we continue to embed our hybrid working environment, we remain in a test and learn phase, which means that working arrangements may be subject to change on reasonable notice to ensure we meet the needs of our business.

Introduction:

The role is to support the Operations Team at the centre of a leading edge audit function. The main purpose is defined below but this role will require a degree of flexibility in line with operational demands.
1) Support for the Management Team in relation to general business management including:
a. Headcount and hiring processes
b. Coordinate departmental Governance processes (e.g monitoring controls and managing risk within appetite, etc.).
c. Operations tasks (including Joiners, Movers, Leavers, and Exit Management)
d. Office Management
e. Procurement and vendor management
2) Providing inputs and commentary into Committee and Board meetings for the area
3) Supporting Business Management in India
4) Managing adhoc queries from within the department and also from stakeholders outside of BIA.
5) Organise and maintain appointment calendar using MS Outlook,
schedule meetings, conferences, etc.
6) Arrange complex global travel, liaising with internal and external contacts for
all bookings and meetings and arranging all required Visa and passports;
ensuring detailed itineraries are prepared along with briefing packs.
7) Ensuring all agenda, packs and materials are compiled and printed before meetings, following up on actionable items and ensuring deadlines are met
8) Create and maintain records and filing systems with the teams which will include confidential/sensitive information
9) Identify & introduce new practices and procedures to improve efficiency
10) Organise Team events /off-site events as required
11) Maintaining full records of correspondence and business dealings for future reference and the maintenance of filing/archiving which will include confidential/sensitive information.
12) Provide support to the MD and team on preparing power-point presentations, reviewing and consolidating data where appropriate.

What we’re looking for:

  • Skills in the Microsoft suite of products (Word, Excel & PowerPoint in particular).
  • Ability to work as part of a team, and be able to operate across a range of BIA areas and be able to adapt personal style to suit a range of audiences and stakeholders.
  • Ability to understand and new concepts and be flexible in the approach to delivering work.
  • Minimum education qualification – Graduation degree

Skills that will help you in the role:

  • The role involves strong project management orientations – able to plan and organize tasks, keep stakeholders on track, analyze datasets.
  • Experience of working in a central team for a Control Function (Audit, Risk, Compliance etc.)
  • Innovative and self-motivated, with the ability to deliver quality results with a challenging but positive and influential style.
  • Demonstrate a logical and structured approach to achieving desired outcomes along with excellent written and oral communication with ability to communicate across all levels.
