Job Description
Administrative Support:
- Manage and maintain the executive's schedule, appointments, and travel arrangements.
- Organize and coordinate meetings, conferences, and teleconferences.
- Manage, organize, and update relevant data using database applications.
Communication:
- Act as the first point of contact: dealing with correspondence and phone calls.
- Manage diaries and organize meetings and appointments, often controlling access to the manager/executive.
- Produce reports, presentations, and briefs.
Document Management:
- Draft, format, and print relevant documents.
- Prepare and edit correspondence, communications, presentations and other documents.
- File and retrieve documents and reference materials.
Financial Management:
- Assist with budget preparation.
- Process invoices and track expenses.
Confidentiality:
- Handle sensitive and confidential matters like contract negotiations or dealing with employee issues.
- Protect the privacy and security of company records and information.
Liaison:
- Liaise with internal staff at all levels.
- Interact with external clients and stakeholders.
Qualifications:
- Proven experience as a Personal Secretary or similar administrative role.
- Proficient in MS Office and “back-office” software (e.g., ERP).
- In-depth knowledge of office management and basic accounting procedures.
- Excellent organizational and time-management skills.
- Outstanding communication and negotiation abilities.
- Integrity and confidentiality.
Education:
- Bachelor's degree in Business Administration or relevant field is preferred.
