Responsibilities
1. Ensure that the facility is fully operational with all utilities functioning properly
a. Lights
b. A/c
c. Bathrooms
d. Pantry
e. Games Room
f. Coffee machines
g. Drinking Water Supply
h. Office furniture & Chairs
i. Fire Safety and Compliances
j. Other utilities
2. Schedule and supervise maintenance repair work and assist with checking installation and servicing equipment.
3. Maintain stock levels and parts within budget
a. Kitchen and Pantry items (Coffee, tea, mugs, cups, plates, water, biscuits, popcorns, etc)
b. Toiletries (Hand Sanitizers, paper napkins, hand soap, toilet paper, etc)
c. Stationary (Printing paper, Business cards, Letter heads, Envelops, Notepads, files, stapler, Scissors, paper clips, cello tapes, glue, pencils, sharpener, erasers, pens, markers, highlighters, ink pad, calculators, post-it notes, rubber bands, printer ink)
d. First-aid kit and hygiene items (Adhesive bandages, face mask, Sanitary napkins, etc)
e. Miscellaneous (Broom, Dustbin, Garbage bags, Batteries, etc)
4. Oversee security in the office premises.
5. Oversee office cleaning staffs & housekeeping. Ensure the office stays meticulously organized and in an orderly fashion.
6. Communicates fluently in Bengali and Hindi. Should be able to write in English.
7. Timely discussion with HR to update and maintain office policies.
8. Ensure that all procurements are invoiced and paid on time within the approved budget.
9. Manage contract and price negotiations with office vendors & service providers.
10. Provide broad support to office visitors.
11. Address queries of employees regarding office management issues (e.g., stationery, Hardware and travel arrangements).
12. Arrangements for in-house or off-site activities, like parties, birthday celebrations and conferences.
13. Should assist with collection of parcels and deliveries in office.
14. Responsible for handling client visits. Ensure a pleasant experience to the client by managing their commute, stay, food, sight-seeing, gifts, etc.
15. Coordinating with travel agency for booking of hotels, flights, & cars.
16. Defining and implementing processes as required for all admin functions.
