Document Administrator
Marcura is looking for a
Document Administrator
who will help our team collecting, sorting and transfer documentation from vessels, ports and cargos received from Master and / or Agents of the vessel. The documents may be shared with customers or distributed for internal structures.
Your new day-to-day will be:· To ensure all port calls are duly created in our Port Document Management System (PDMS) application, so as not to miss out on any port call by cross referencing with DA-Desk port calls for each customer.· Review PDMS report daily to review abnormalities (if any) so that those can be reported to the Team Leader for corrective action by following Standard Operating Procedures (SOPs).· To ensure all notifications are being sent by the application so as not to miss out on any port call by sampling messages per customer.· Receive, sort and upload vessel and / or port documents as received from agents and / or Master so that they can be promptly made available to the customer by following prescribed guidelines and SOPs.· Follow Customer Specific Instructions & SOPs to query Agent and / or Master for any discrepancies within the documents and follow-up for replies so that a correct and complete set of documents can be promptly made available to the customers.· Prepare periodic reports as may be required from time to time by the customer and / or management by following prescribed guidelines to fulfil customer obligations or any requirement of the management.
This is what we really need from you:· Bachelor’s degree· Minimum experience of 1 year in handling port and / or vessel documents· Shipping agency related experience is highly desirable· Good English communication skills (written & verbal)· Attention to detail & quality with ability to deliver consistently is a must· Knowledge of various port and / or vessel documents (Tankers and Dry Bulk) will be highly valued
