Job Purpose Overseeing seamless delivery of all 5 AMPs at Mohali and Hyderabad as per policies and process: Advanced Management Programme for Business Analytics (AMPBA) Advanced Management Programme for Healthcare (AMPH) Advanced Management Programme for Infrastructure (AMPI) Advanced Management Programme in Operations and Supply Chain (AMPOS) Advanced Management Programme in Public Policy (AMPPP) Adapting to disruptions and ensuring course delivery continues flawlessly. Hiring and allocation of AMP staff and Academic Associates for AMPBA Programme. Managing on ground expectation of students and faculty at Mohali and Hyderabad campus for all AMPs. Coordination and collaboration with ASA for Course Delivery activities including allocation of AAs (for all AMPs). Ensuring effective and accurate budgeting exercises and controlling budgets throughout the year. Overseeing HCC cases of all AMPs. Job Outline The primary responsibility of the job holder is to ensure seamless academic experience across all AMP programmes. It involves course coordination, conducting of all evaluation components, managing the pre and post Exam activities, Data Management and Logistics. It also includes overseeing all HCC activities related to AMPs. The role also requires regular interaction with the faculty and ensuring excellent support for them. The role includes liaising with several other departments such as RO, FA, Audit, IT, Operations and ASA. The AD must be Tech savvy since ISB has a thrust on quick resolution of IT issues and use of new technology. The acceptable TATs for Grade release, Faculty Feedback, Data compilation, Audit activity, Data and queries on ASA_Assist also comes under the purview of the role. The AD will be responsible for maintaining relations and keeping abreast with the RCIs and regularly share feedback with them. S/he will ensure wrap up sessions for every residency/term and take remedial steps wherever possible, and share feedback for quick resolutions wherever other departments are involved. This role includes responsibility of providing Academic Associates for all the AMP programmes according to the Areas. The incumbent is expected to work closely with the Associate Dean of Advanced Management Programmes for planning and managing the AMPs. S/he will also be required to interact with the student representatives throughout the year and be responsible for bringing improvements in the system and implementing them. Budgeting for all AMPs will be a part of the AD’s responsibilities. The AD must update the AMP pages on Atrium on the latest developments, strategies and structural changes. S/he is also expected to ensure updations of the Student Manuals and Faculty Handbook every year as also ensure updation of AMP information on the ISB website As a part of the data maintenance activities, the job holder is required to keep an updated and error-free record of the department’s data by collating data from the relevant stakeholders. An important aspect of the incumbent’s role is facilitating release students’ grades in a timely manner keeping a tight hold on the Audit activities. Knowledge / Education Post-Graduate Degree/PhD Knowledge of Industry Specific Skills Good knowledge of MS Office, prior knowledge of software implementation, excellent interpersonal skills, understanding students’ needs, Working with several stakeholders, skillful in coordinating, planning, managing a large team, good communication skills, time and quality management. Information knowledge of the five industries related with the 5 AMPs Desirable Experience 15 years Alliances with atleast one industry and knowledge of others Job Interface Internal Admissions and CAS Academic and Students’ Affairs HR Operations ITCS and IT Developers IT Commercials Dean’s office Alumni Relations Finance LRC FA RO Audit Team External SAP AV Team Hotels for AMPs (for residencies wherever required) Internal vendors such as Sarovar Key Responsibilities and % Time Spent To execute the academic delivery of the AMP Programmes at Mohali and Hyderabad 50% Liaising with all the RCIs along with Inter Departmental and Inter Campus Coordination, participation in Orientation and Graduation activities which the RCIs organize 20% To maintain proper records of the department’s data in the prescribed formats/templates, which are easy to retrieve and meet School requirements 5% To ensure relevant allocations of AAs, recruitment of AMPBA AAs, Audit related efficiency, regular interaction with RO and Audit team to reconcile LOAs and streamline audit observations 5% To manage the ASA_AMP teams at Mohali and Hyderabad: recruitment, monitor and support activities assigned to team members, guide and mentor them and identify areas of improvements, appraisals of the team members 10% All HCC activity related to AMPs 10% KRA Delivery of the AMP Programmes KPI § Scrutinizing all the course outlines *Ensuring material is up on LMS on time *following up with faculty if they are not responding *keeping track of trends and issues ensuring we address them *Regular interaction with students *24X7 redressal of students concerns *regular interaction with the faculty on campus *ensuring comfortable stay and enjoyable classroom experience for students and faculty, also efficient secretarial support *ensuring IT issues resolution quickly *scrutinizing case overlaps *ensuring minimal reschedule of classes (one reschedule per faculty if at all)*maintaining TAT for ASA Assist * Overseeing Exams in entirety: Pre and Post exam activities including Grade release* Overseeing Audit Process* Maintaining TAT for Faculty Feedback and Course related Info*ENSURING ALL CLASSROOM RELATED EXPERIENCES FOR AMPs ARE FLAWLESS, including liaising with the departments wherever required* Coordinating for HCC cases at Mohali * Ensuring seamless management of LOAs Measure § Timely execution of all functions § Adherence to policies and processes § Timely Grade Release Timely response to student queries and concerns Weightage 50% KRA Liaising with all the RCIs and coordinating with other Departments/Campus Graduation and Orientation activities with RCIs KPI § AD must connect regularly with RCIs, several departments and continuously with Hyderabad. AD will regularly interact with the Associate Dean of Programmes as well as the representatives of other Departments. § Extensive communication, Meetings and data sharing to ensure smooth functioning of the ‘One School two Campus’ model of ISB § Providing support for Graduation and Orientation Measure § Regular meetings with RCIs § Regular Meetings with Audit Team § Regular meetings with IT, Ops, Weightage 20% KRA Maintaining proper records of the department’s data in the prescribed formats/templates KPI § Ensuring all departmental data is available in the acceptable formats to all stake holders § Ensuring timely updation of pre-term related information on the Atrium and Website Providing data for Dean’s Office, ASA, any School level data analysis Measure § Timely data provided wherever required § Accurate data § Formatted data, according to the Org’s requirement Weightage 5% KRA AA related activities including Internal Audits, Policies and Processes. KPI § Ensure AAs are allocated well in time and from the relevant Areas. Ensure all Audit related activities are completed within timelines Measure § Timely Allocations of AAs as required § Accurate data on channels for audit purposes within timelines Support for all AMP activities Weightage 5% KRA Team Management KPI § Supervise, support and advise the team at both campuses on their day-to-day activities, ensuring that all areas of programme delivery are carried out seamlessly and efficiently. § Ensuring the right person was doing the respective job and changes were made when as required. § Ensuring that the machinery works flawlessly throughout the year Regular meetings /emails / discussions with the team members and supporting them in their hour of need.
