The Role:

The Grant Coordinator is a crucial position within Quest Alliance. As of date, Quest runs different projects. Each project comes with its own reporting requirements, monitoring frameworks and are a critical component to maintain great funder relationships and depict the impact of the program

The Grant Coordinator will be an individual who ensures that all deliverables across projects are being met and provides timely information and support for greater collaboration between teams and with funders.

Funder Reporting

Quest works with a wide array of funders including CSR, foundations and HNIs. The Grants Coordinator will work closely with project leads, the impact team and the fundraising team to ensure funder reports are accurate, completed on time with internal reviews and sent out to funders in appropriate formats or uploaded on the correct portals as the case may be. The Grants Coordinator will also participate from time to time in funder meetings and calls as needed.

Liaising with Intermediaries of Funders

Many funders work through intermediaries who act as collators of information for the funder. The Grants Coordinator will need to build relationships with these intermediaries, understand their formats and portals and ensure that timely updates are being shared with intermediaries. Coordinate to fulfill CSR Compliance Requests like Project Impact Assessments by independent agency.

Coordinate Project Planning and Reviews

The Grants Coordinator will be responsible to convene kick-off meetings when projects commence and put in place a cadence for project reviews based on the complexity, the size and the teams involved in particular projects. Different projects will require a different mix of the above and the Grants Coordinator will work closely with all internal stakeholders to ensure the right balance for reviews is found. The Grants Coordinator will be expected to provide mentoring and guidance to project managers on operational aspects. This will be done through the regular review cycles.

Coordinate with Impact Team and Data Owners

Data will be a crucial part of the Grants Coordinator’s role. Ensuring that the right data is flowing through the internal system and in external reports is a key challenge the Grants Coordinator will have to address. This will mean coordinating with different owners of data across the organization including the impact team, state teams to name a few.

Communication

The stories of impact and change we are able to tell often determine how we are perceived by internal and external teams. The Grants Coordinator will work closely with responsible members across the organization and document high-impact, simple and powerful stories of change that are taking place across the country as a result of Quest’s work.

Servicing Ad-Hoc Requests

One of the realities of our work is the servicing of requests from funders and related parties. There are many pressures at work and funders too are subject to these pressures. This at times results in seemingly difficult timelines for information or updates for which we may not have full data visibility. However, the Grants Coordinator will work closely with the BD team to service these requests to the best possible extent.

Monitoring Dashboard Management

The Grants Coordinator will be the overall anchor of the project management dashboard. The dashboard will be a crucial tool for the Grants Coordinator to ensure success in project delivery.

Required Skills & Experience:

  • Strong verbal and written communication skills – in English
  • Project execution experience
  • Familiar with donor reports and consolidating progress reports
  • High degree of digital literacy with strong competencies in Microsoft Office Suite and Google Drive Suite
  • Ability to host and facilitate meetings, both virtual and in-person. Diplomacy and tact will be added bonus skills!
  • Willingness to travel to field locations, as needed
  • An interest to look for newer ways of capturing learnings
  • Comfortable working in situations with tight timelines or dealing with ad-hoc requests
  • Comfortable working remotely or with colleagues in diverse geographical locations
