Job Description: Document Control Manager
Responsibilities:
- Develop, implement, and maintain Document Control processes and procedures to ensure compliance with quality system requirements.
- Review and approve documents before release, ensuring compliance with company policies and procedures.
- Coordinate with other departments to confirm the completeness and accuracy of all necessary documentation.
- Ensure compliance with company Document Control policies and regulations.
- Develop and maintain an internal database of documents related to company operations.
- Propose a document distribution matrix.
- Ensure adherence to document procedures, including filing, scanning, indexing, retention, retrieval, archiving, and proper disposal of void documents.
- Evaluate and select document management software and tools.
- Review, approve, or reject documents based on content, format, and adherence to company guidelines.
- Prepare ad-hoc reports when required.
- Develop and maintain a disaster recovery plan for critical documents.
- Manage work schedules, oversee office activities, and hire/layoff staff as necessary.
- Maintain the master deliverable register and list of controlled documents.
- Train new employees on Document Control procedures.
- Perform audits of the Document Control system to ensure compliance.
- Stay updated on best practices and technologies related to Document Control.
- Maintain a centralized document repository for easy access and retrieval.
- Ensure that Document Control procedures are regularly updated as required.
- Adhere to all safety policies and procedures.
- Coordinate with IT to implement appropriate documentation.
Mandatory Requirements:
- Bachelor’s Degree in Business Administration or Management. Minimum of ten (10) years' experience in Document Controlling.
Additional (Optional) Requirements:
- Certified Project Management Professional (PMP) is a plus.
- Master’s Degree in Business Administration. Certification in quality management.
Skills:
- Proficient in Microsoft Office, Adobe Acrobat, and solid-state drives.
- Ability to prepare reports for Senior Management.
- Very good presentation skills.

- Excellent English speaking and writing.
