Job Description: Document Control Manager

Responsibilities:

  • Develop, implement, and maintain Document Control processes and procedures to ensure compliance with quality system requirements.
  • Review and approve documents before release, ensuring compliance with company policies and procedures.
  • Coordinate with other departments to confirm the completeness and accuracy of all necessary documentation.
  • Ensure compliance with company Document Control policies and regulations.
  • Develop and maintain an internal database of documents related to company operations.
  • Propose a document distribution matrix.
  • Ensure adherence to document procedures, including filing, scanning, indexing, retention, retrieval, archiving, and proper disposal of void documents.
  • Evaluate and select document management software and tools.
  • Review, approve, or reject documents based on content, format, and adherence to company guidelines.
  • Prepare ad-hoc reports when required.
  • Develop and maintain a disaster recovery plan for critical documents.
  • Manage work schedules, oversee office activities, and hire/layoff staff as necessary.
  • Maintain the master deliverable register and list of controlled documents.
  • Train new employees on Document Control procedures.
  • Perform audits of the Document Control system to ensure compliance.
  • Stay updated on best practices and technologies related to Document Control.
  • Maintain a centralized document repository for easy access and retrieval.
  • Ensure that Document Control procedures are regularly updated as required.
  • Adhere to all safety policies and procedures.
  • Coordinate with IT to implement appropriate documentation.
Retrieve documents as per requests.

    Mandatory Requirements:

    • Bachelor’s Degree in Business Administration or Management.
    • Minimum of ten (10) years' experience in Document Controlling.

    Additional (Optional) Requirements:

    • Certified Project Management Professional (PMP) is a plus.
    • Master’s Degree in Business Administration.
    • Certification in quality management.

    Skills:

    • Proficient in Microsoft Office, Adobe Acrobat, and solid-state drives.
    • Ability to prepare reports for Senior Management.
    • Very good presentation skills.
    • Very good analytical skills.
    • Excellent communication and influencing skills.
    • Excellent English speaking and writing.


    Preferred Nationality: Filipino/Indians

    Preferred Candidate Location: Home Country (India and Philippines)
