What are we looking for?

Expand our Zitro family with an Administrative Assistant who will be joining our new India office located in Bangalore as part of the growing team in Bangalore. This position will report to the General Manager.

As an Administrative Assistant & Front Desk, you will coordinate the meetings and schedule of the General Manager and the senior engineering managers of the office. You will schedule meetings with internal and external stakeholders as needed and expected by the leadership team. Additionally, you will manage the front desk responsibilities to ensure the smooth functioning of the office.

What will you do?

Depending on the General Manager located in India office:

  • Act as the point of contact among managers, employees, and other external partners.
  • Manage internal and external stakeholders.
  • Manage General Manager’s calendars and set up meetings and conference calls.
  • Manage Infrastructure, creation of purchase requests. Manage inventory.
  • Managing and coordinating travel of team members from India to Spain and Spain to India.
  • Assisting with Visa and hotel stays for all travels.
  • Proactively look for improvements in the office.
  • Assist the HR team with employee engagement activities.
  • Any other related tasks assigned by the General manager for the smooth functioning of the office.
  • Handle front desk responsibilities, including welcoming visitors, managing phone calls, and overseeing office supplies.

What do you need?

  • A minimum of 4-6 years of work experience as admin assistant role.
  • Experience in managing and coordinating site administrative activities independently.
  • Discreet and ability to work independently and as part of a team.
  • Well-organized with the ability to multitask.
  • Excellent interpersonal, oral, written, and visual communication skills.
  • Proficient in MS Word, Excel, PowerPoint, Outlook, Teams, SharePoint and other relevant software.
  • Fluency in written and spoken English.
  • Maintain confidentiality.
